Payroll is one of the least flexible processes for businesses: salaries must arrive on time, tax returns must be submitted by the deadline, and registrations must occur before work begins. Those who experience this as a monthly firefighting exercise typically do not have an issue with the rules themselves, but rather with the scheduling. Below, we walk through the yearly rhythm to see what to pay attention to and when.

The Monthly Cycle: The Backbone of the System

Before discussing the annual schedule, it is worth noting that payroll is essentially a monthly repeating process. It consists of four phases, each of which should be assigned a fixed date within the month:

Data collection. Timesheets, leave, sick leave periods, overtime, shift allowances, variable salary elements, bonuses, and fringe benefits. This phase determines the quality of the entire month—incomplete data does not fix itself later.

Payroll calculation. Calculating salaries, deductions, and contributions, and preparing payslips.

Payment. Compiling the bank transfer list and disbursing net salaries by the deadline specified in the employment contract or relevant legislation.

Tax filing and payment. Submitting monthly tax and contribution returns, and paying public charges.

If these four phases are written into the calendar—rather than kept in memory—payroll remains uneventful in most months. Errors almost without exception arise where data collection is delayed, causing subsequent steps to pile up.

Beginning of the Year: Retuning the Basics

The first months of the year are about review. This is when legislative changes take effect, updates linked to the minimum wage and guaranteed minimum wage are implemented, and employee tax deduction declarations should be reviewed. Employee declarations—such as those related to family tax benefits or other tax relief—are not valid indefinitely: changes in data must be tracked, otherwise an unpleasant difference may arise at year-end.

Determining annual leave entitlements also falls at the beginning of the year. In addition to basic leave, eligibility for supplementary leave—based on age, children, health condition, or job role—must be reviewed and recorded in system registers. Specific entitlements must always be determined in accordance with applicable labor law regulations.

Tasks of the Tax Year Closing

Administration related to the previous year also occurs during the early part of the year. This includes issuing employee income certificates, completing annual summary reporting, and settling annual accounts for fringe benefits and specified non-wage benefits. This is where inaccurately maintained records throughout the year backfire: missing data must then be reconstructed retroactively.

Mid-Year: Managing Leaves and AbsencesMid-Year: Managing Leaves and Absences

The spring and summer months require special attention due to vacation scheduling. Two aspects are important. First, the employer has a record-keeping obligation: granted and remaining leave must be trackable at all times. Second, vacation scheduling should also be planned from a business perspective so that the entire remaining allowance does not pile up into the final quarter.

During this same period, administration related to sick pay and other benefits typically increases as well. Documents required for applying for sick pay, Infant Care Allowance (CSED), and Child Care Allowance (GYED) should be forwarded to payroll immediately upon generation—retroactive submission always involves more work and can also delay the payout of employee benefits.

Onboarding and Offboarding: The Strictest Deadlines

Employment-related registrations are tied to events rather than the calendar, leaving the smallest margin for error. Employee insurance registration must take place before work commences—this is where omitted or late submissions can lead directly to penalties. Therefore, it is best practice to make signing the employment contract and notifying payroll part of a single, unified workflow rather than two separate events.

Offboarding follows a similarly strict procedure: issuing exit documentation, final accounts, possible leave payouts, and deregistration all occur according to a defined order. A well-prepared exit template prevents many disputes here.

Year-End: Planning for the Next Year

The final quarter presents a dual task. On one hand, the current year must be closed: granting remaining leave, settling annual benefit balances, and resolving pending items. On the other hand, planning for the following year begins—shaping wage developments, headcount plans, and benefit packages. For the latter, it is essential to calculate total employer cost rather than just gross wages, as this makes the financial impact of decisions realistically comparable.

Forms of Employment: The Framework Matters

Part of annual planning is also considering what legal relationship you employ in. The employment relationship, the mandate relationship, and simplified employment involve different administrative burdens, different public charges, and different legal consequences. However, the choice must always adapt to the nature of the actual work performed: a cooperation formally called a mandate, but in reality showing the characteristics of an employment relationship, can be reclassified in the event of an inspection. Therefore, choosing the appropriate form is not a cost-optimization trick, but a matter of compliance.

Would you like to make payroll predictable?

Ha szeretné, hogy a bérszámfejtés és a TB-ügyintézés naptár szerint, határidőre működjön, request a quote If you want payroll and social security administration to operate on schedule and on time according to the calendar, request a quote—fill out the short form, and we will contact you.

The post A bérszámfejtés éves ütemterve appeared first on Könyvelési Megoldások.

When starting a business, most decisions are reversible: the logo can be changed, the price list can be rewritten, and the service portfolio can be expanded. Choosing a tax structure, however, falls into a different category. This is the decision that determines for months—and in many cases for an entire tax year—how much of your revenue remains with you, what administration you need to perform, and how predictable your monthly cash flow will be. That is precisely why it is worth taking the time for it even before the first invoice is issued.

Why Is There No "Best" Tax Structure?

One of the most common questions from starting entrepreneurs is: "Which tax structure is the most favorable?" The professionally correct answer is always the same: it depends. Even for two businesses with identical revenue on paper, the optimal choice can be completely different if one operates with significant material costs while the other provides purely intellectual services. The decision is determined not by a single indicator, but by an interconnected system of factors.

In practice, a weighted consideration of the following factors leads to a good decision:

The magnitude of expected annual revenue and its fluctuation. A stable, predictable revenue curve justifies a different structure than seasonally fluctuating performance.

The cost structure. If your business involves significant material purchasing, subcontractor fees, or equipment acquisition, the deductibility of costs becomes a key question. Conversely, with a low cost ratio, a simplified, itemized system may be more advantageous.

The composition of your customer base. The situation is different if you sell predominantly to private individuals compared to companies entitled to deduct VAT. In the latter case, the question of VAT status is not merely administrative, but a factor of competitiveness.

Planned employment. If you plan to hire employees in the short term, managing payroll burdens and the tax implications of employment types should be built into the model right from launch.

Intentions for growth. Changing structures always involves transition costs and administration. If you realistically foresee outgrowing your chosen framework within two years, it is worth factoring this in now.

Sole Proprietorship or Corporate Form?

Before choosing a tax method, you must also decide one level higher: in what legal form the business should operate. A sole proprietorship offers a fast and inexpensive launch and simpler operation, but in exchange, liability is personal and unlimited. Corporate business forms involve greater establishment and maintenance administration, but they separate business assets from personal assets and typically create a better negotiating position with larger clients, in grant applications, or for bank financing.

It is important to see that the two questions are interconnected: certain tax methods are only available within specific legal forms. Therefore, the sequence is always to clarify the business model and risk appetite first, and only then evaluate tax alternatives.

The VAT Question That Many Underestimate

Starting entrepreneurs often automatically choose the administratively simpler option regarding VAT because "that way there is less paperwork." This may be true in the short term, but in the long term, it becomes a serious disadvantage if your client base consists largely of businesses entitled to VAT deduction or if you face significant purchases. The choice between tax-exempt status (alanyi mentesség) and taxation under general rules is thus not a matter of administrative convenience, but a business decision—and is tied to specified conditions and threshold limits under effective regulations, which must always be examined based on current legislation.

Calculate with a Model, Not by Gut Feeling

The method for making an informed decision is not complex; it merely requires discipline. Prepare a simple but realistic financial model for at least three scenarios: a conservative, an expected, and an optimistic revenue trajectory. Assign expected costs to each, and then calculate across each potential tax structure how much the total public charges will be and how much actually remains in the business.

This comparison often yields surprising results. It is not uncommon for a setup considered "cheap" to perform worse under a real cost structure than a solution that initially seems more complex. During the calculation, do not forget contributions, potential minimum liabilities, or the fact that certain structures carry their own record-keeping and reporting obligations—which represent costs in both time and money.

Common Mistakes at Launch

Decisions based on "someone said so". A structure that works well in an acquaintance's business may even be disadvantageous given your different cost structure.

Superficial choice of scopes of activity. Declared business activities can have tax, licensing, and insurance implications.

Ignoring deadlines. Choosing or opting out of several tax structures is only possible within specified periods subject to notification. A missed notification can cement a disadvantageous situation for an entire year.

Blurring personal and business finances. Without a separate bank account and consistent documentation, even the best tax structure cannot protect you during a subsequent audit.

When Is It Worth Reviewing the Decision?

A tax structure is not a lifelong commitment. It is worth re-evaluating at least once a year, typically in the final quarter of the year, whether the chosen setup still fits reality. A review is especially justified if revenue has increased or decreased significantly, if the scope of activities has expanded, if you have hired employees, or if you face major investments. The regulatory environment changes as well, which is why the validity of the decision must always be reassessed according to effective rules; current NAV (Tax Authority) information guides also provide a good starting point for details.

Choosing a tax structure is a financial planning task, not an administrative formality. Anyone who takes this seriously at the moment of launch will not only save on taxes in the coming years but also gain predictability—and in the early stage of a business, that is at least as valuable.

Uncertain about the choice?

If you would like to calculate with your own numbers which setup serves your business best, request a quote If you want payroll and social security administration to operate on schedule and on time according to the calendar, request a quote—fill out the short form, and we will contact you.

The post Adózási forma választása induló vállalkozásnál appeared first on Könyvelési Megoldások.
